When your quoting data lives in five systems, every quote starts from scratch

Matt Francis, CEO

Here's a pattern that shows up in almost every distributor we talk to. The RFQ history sits in one place, usually a mix of inboxes and a folder somewhere. Pricing lives in files and portals. What you actually paid last time lives in the ERP. Notes on which customer is price-sensitive and which one values speed live in someone's head. None of it talks to the rest.

So when a new RFQ comes in, none of that context is at hand. The rep rebuilds it from memory and a bit of digging. They half-remember quoting this part three months ago but can't find it fast enough, so they price it fresh. That's fine once. Do it across every line, every rep, every day, and consistency starts to slip. The same part gets quoted at two different margins in the same week, and nobody notices until a customer does.

That inconsistency is the real cost, and it's easy to miss because nothing breaks. You still send quotes, you still win some, you still book revenue. You just leave a bit on the table every time, and it never shows up as a single line you can point to. It's spread thin across thousands of quotes.

The reason the data stays apart is usually historical, not stubborn. The ERP was set up for accounting and inventory, not for quoting. The pricing files grew organically. The portals belong to your suppliers, not you. Nobody sat down and decided to fragment the workflow, it just accumulated that way over years, and pulling it back together felt like a project big enough to never start.

That's the assumption worth challenging. You don't need to consolidate everything into one system to quote from one view. Rama connects to what you already have, the ERP, the pricing files, the inventory system, the supplier portals, and pulls the relevant history and live data into the moment a rep is building a quote. Last price paid, current stock, what you quoted this part before, sitting next to the RFQ line instead of five clicks away. We sit on top of your systems, we don't replace them, so the data you already own finally becomes useful at the point you need it.

The effect isn't dramatic on any single quote. It's that every quote stops starting from zero. The rep isn't reconstructing context, they're reviewing it, and the same part gets treated the same way whether it's quoted on a Monday or a Friday, by your newest hire or your most senior one.

So a fair thing to ask yourself: is your quoting data pulled together anywhere, or spread across systems like most? Straight answer's fine.
